What we need – What information will be collected

Unless otherwise agreed with you, we will only collect basic personal data about you, which does not include any special categories of personal information about you (often known as ‘sensitive personal data’). This information does, however include the likes of name, date of birth, address, email address, occupation, telephone numbers.

Why we need the data

We need to know basic personal data in order to provide our instructing client with the necessary information in order for them to consider their position.

What we do with it

All the personal data we hold about you will only be processed by our staff in the United Kingdom and will be held on a secure network (computer).

Who will have access to your data / who will it be shared with?

In order to administer the investigation, The Cotswold Group will only share your personal information provided to us with our instructing client unless previously agreed or within the exemptions of the Data Protection Bill, such as:

• National Security
• Public Security
• Defence
• Prevention, Investigation, Detection or Prosecution of Criminal Offences
• Matters of General Public Interest including Monetary, Taxation, Budgetary and Public Health objectives

If we do transfer your personal information, we will ensure that it is appropriately protected. We will only share your information as described in this notice, or where we are required or allowed to do so by law.

Claims History

When you tell us about any insurance related incident we will pass this information back to our instructing client. They and other insurers may search databases when you apply for insurance, in the event of any incident or claim, or at the time of renewal to validate your claims history or that of any other person or property likely to be involved in the policy or claim.

Fraud Prevention & Detection

In order to prevent and detect fraud/criminal activity only, we may share information about you with other organisations including the Police, conduct searches about you using publicly available databases, check and/or share your details with fraud prevention and detection agencies and undertake credit searches. If false or inaccurate information is provided and fraud is identified, details may be passed to fraud prevention agencies. Law enforcement agencies may access and use this information.

Your consent/information

By making this statement and providing information, you consent to the collection and use of your personal information (including sensitive personal data if agreed) by us, provided it is used as set out in this Notice.

The information provided may be held electronically and/or in paper form and will be kept secure at all times. You hereby agree to us holding the information on an ongoing basis as is relevant for the investigation, the data will not be stored or kept for any longer than is necessary and will then be deleted and disposed of securely and completely.
